Temporary Part-time Secretary of Newport Center

Job Description

Campus Location: Walters State Community College Newport Center (Employees are assigned to a “home” location but may occasionally or regularly be required to work at other WSCC locations.)

Job Purpose: The purpose of this position is to assist with all administrative areas that create an environment for students to succeed in their college goals. This includes admissions, dual enrollment, financial aid, student engagement, communication, and assistance in other relevant areas.

Essential Job Functions:

  • Greets students and assists with all aspects of student services, directing them to various campus locations for classes and events. Assists students with online registration using their Walters State accounts. Schedules student orientation, placement testing and classes.
  • Communicates all college processes to students such as admissions, financial aid, etc. Receives the student information documents and forwards all documents to the Morristown campus for processing.
  • Schedules meetings with current and potential students for the Newport Center. Additionally, will schedule meetings with community stakeholders with the High School.
  • Works with the Programs Specialist and/or Dean of High School Programs to promote outreach in the county and continued growth of the Newport Center.
  • Assists with the processing of dual enrollment applications and other dual enrollment related processes in addition to answering student and teacher inquiries. Interacts with counselors from two area high schools and other K12 stakeholders in the county.
  • Opens the Newport Center each day and prepares for classes and events and assists faculty and other staff with any preparation needed for classes and events.
  • Communicates through a variety of mediums with staff, faculty, parents, and students in order to convey general announcements related to the Newport Center. Maintain supplies needed to operate the Newport Center.
  • May perform other duties as required and requested.

Required Qualifications:

  • High School Diploma
  • One year or less of career related experience.
  • The ability to use common office equipment such as a PC (with Microsoft Office), telephone, copier, and printer
  • Knowledge of business writing and grammar, ability to meet deadlines, and expertise in computer software such as Raiser’s Edge

Preferred Qualifications:

  • Associate Degree or higher
  • Prior experience in a secretarial role in an educational environment
  • Prior experience with higher education processes and systems

Leadership & Supervisory:  The incumbent has no authority or responsibility for the supervision of others, project direction, or program administration. The employee in this position performs the most tasks without the consultation of others, though resources, policies and a supervisor are available when needed. Work is checked largely for progress toward completion of objectives.

Environment & Working Conditions: Office environment is temperature controlled with occasional fluctuations, well lit, and free from loud noises and unnecessary interruptions.

Physical Demands  (including requirements for travel or working nights/weekends/holidays):

  • Will be required to open and close the Newport Center in the evenings.
  • Large amounts of time spent looking at computer monitors could lead to some eye strain, stress, or headache issues. Repetitive stress injuries could occur.
  • Occasional movement around the office in order to gather/deliver supplies is required.
  • Computer/laptop carts and other items may be requested from time-to-time to be moved from one classroom to the other.
