Job Description
Position Summary
The Academy of Lifelong Learning is hiring a Part-Time Program Specialist. This position is responsible for coordinating Victoria College's Lifelong Learning Academy. The Academy is a membership-driven organization that provides non-credit programs, as well as special cultural and social events, and encourages active participation in a voluntary capacity.
Duties & Responsibilities
Duties include, but are not limited to the following:
- Provide information on Academy of Lifelong Learning (ALL) course offerings to the community and VC employees
- Create and maintain the ALL course schedules
- Coordinate management and archival of ALL course documentation (rosters, student evaluations, certificates of completion)
4. Assist with development and oversight of ALL budget and unit plans5. Coordinate ALL website updates with CTE-CE website content editor6. Plan and coordinate ALL’s Fall and Spring Open House7. Process member registrations with the assistance of WCE staff, when necessary8. Provide appropriate resources for ALL courses, including creation of monthly registration forms and monthly newsletter; securing instructional materials, room scheduling, materials, supplies, and hardware/software, printing of student rosters, course evaluations, and grade entry9. Coordinate with CTE-CE Administrative Assistant for the processing of check requests, purchase orders, travel, etc.10. Provide support to ALL’s Advisory Committees11. Respond professionally to internal and external communications via telephone, fax, mail, e-mail, Live Chat, and in person12. Work with other department staff on activities to ensure efficient and effective operations13. Other duties as necessaryQualifications
Required
- Associate's Degree or equivalent work experience required – Bachelor's degree preferred
- Ability to adapt and to work cooperatively with the other divisions within the College
- Excellent interpersonal, written and oral communications skills
- Excellent organizational, budgeting, planning, and implementation skills, including ability to meet deadlines, attend to detail and multi-task
- Proficiency in computer applications including all Microsoft applications (Outlook, Word, Excel, PowerPoint); experience in graphic design applications, desired
- Ability to work a flexible schedule (evenings, weekends) to accommodate program needs
- Must have a Valid driver's license with a good driving record consistent with the policies and insurance requirements of Victoria College as well as the ability and willingness to drive multi passenger vehicles and transport students off-campus
- Experience in continuing education programs, training or related field
Physical Demands
While performing the duties of this job, the employee is regularly required to use hands and fingers to handle controls, key pads, etc. Will be required to sit and reach with hands and arms as well as, sit, stand and walk. The employee must frequently lift and/or move up to 15 pounds while loading office supplies and paper. Specific vision abilities required include close vision, some color vision, and the ability to adjust focus from documents to computer screen. Hearing of light to moderate sound is required by this job. The noise level in the work environment is usually moderate.
