Administrative Coordinator

Job Description

The Department of Neurology is seeking a part-time Administrative Coordinator to coordinate various administrative functions related to continuing medical education and professional development programs. The Administrative Coordinator will complete projects as assigned by faculty leaders of the Coaching/Professional development program. The coordinator will research and analyze data to develop reports, and draft and edit a variety of written materials for a CME course and strengths programming. The coordinator will represent the professional development coaching curriculum and the program to a wide range of external and internal constituencies. Will assist in program planning and the implementation of policies and procedures. Will exercise discretion and judgment in resolution of day-to-day problems.


Specific Duties and Responsibilities

  • Perform duties as assigned by the coaching program directors with a minimum of supervision.
  • Prepare for full range of meetings and presentations and prepare pertinent materials to assist in presenting
  • Proofread all correspondence sent out on behalf of the coaching team.
  • Support the program on administrative issues and serve as point person for new policies and procedures.
  • Assist with problem resolution, questions, guidance and information dissemination and in formulating policy and procedural changes.
  • Coordinate and assist with problem resolutions and priority setting.
  • Manage the day-to-day activities through electronic calendars.
  • Arrange and accurately schedule meetings.
  • Perform ad-hoc and special projects related to development of program activities.
  • Coordinate meetings, prepare meeting materials and agendas. Coordinate collection and preparation of various reports.
  • Prepare and submit accounts payable and purchasing paperwork and track payment of invoices.
  • Prepare professional, accurate, and succinct reports.
  • Compose and edits letters and other correspondence.
  • Coordinate and assist with planning of special projects and events, office activities and committee meetings.
  • Conduct and collect basic research for various meeting content, agendas, attendees, topics and ensure the organization of meeting logistics.
  • Format reports, graphs, tables, records and other sources of information and summarize materials for Administrator’s use in a variety of settings.
  • Coordinate and implement office services such as purchasing, records control, projects and budget accounting operations.
  • Analyze unit operating practices such as record keeping systems, forms control, office layout, personnel requirements, creating new systems or revising established procedures.
  • Establish and maintain an organized filing system according to office procedures to ensure the expeditious retrieval of information.
  • Screen and prioritize incoming correspondence, phone calls and visitors.
  • Expedite requests/inquiries that do not require an executive reply.
  • Open, sort, and screen mail; coordinate all outgoing mail. Transcribe minutes and notes.
  • Coordinate recurring meetings by contacting participants and preparing necessary materials.
  • Monitor office supplies and orders supplies as indicated on a regular basis.
  • Locate and compile information and format reports, statistical reports, graphs, tables, records and other sources of information.
  • Create Excel spreadsheets and PowerPoint presentations for various meetings and presentations.
  • Operate personal computer to access e-mail, electronic calendars, and other basic office support software.
  • Use various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports.
  • Perform other duties as required.









Minimum Qualifications
  • High School Diploma or graduation equivalent
  • Three years related experience
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula


Preferred Qualifications
  • Bachelor's degree.

Role/Level/Range: ATO 40/E/02/OE  
Starting Salary Range: $18.20 - $33.90 HRLY (Commensurate with experience) 
Employee group: Part-time 
Schedule: M-F; hours vary
