Job Description

The Academic Program Administrator for the Graduate Studies Program serves as a key team member in the Computer Science and Engineering department. This position manages the department’s graduate studies and Master’s programs administration.

The Academic Program Administrator serves as the department’s expert on all graduate program policies and procedures. This position plays a key role in representing Notre Dame to a variety of constituencies and ensuring the efficient operation of the graduate program serving as the first point of contact to faculty advisors, current graduate students, prospective students and research visitors.

What You’ll Do

Program Administration
  • Manage all administrative aspects of the Graduate Studies and Master’s programs. This includes overseeing the application process, managing student communications, acting as the OnBase and student application contact, mentoring students on policies and procedures, and coordinating with other graduate administrators.
Financial Management
  • Process stipend forms, manage program payments, process reimbursements, and monitor budget and fellowship funds.
Recruitment
  • Develop recruitment goals, plan events, coordinate campus visits, and implement e-strategies.
Reporting & Collaboration
  • Produce recruitment and retention metrics, and work with various Notre Dame units and coordinators.
Additional Duties
  • Assist the DGS and ADGS, manage scheduling and events, and undertake tasks as assigned.

Minimum Qualifications

  • Skills include but are not limited to excellent organizational skills, high level of attention to detail, ability to prioritize work and meet deadlines, excellent oral and verbal communication skills, and friendly and welcoming disposition.
  • Must be proficient in computer skills and able to work with a number of standard software programs.
  • Due to level of confidential material, a commitment to confidentiality is essential.

Preferred Qualifications

  • Experience working in a graduate program environment.
  • Familiarity with OnBase and other student management systems.
  • Experience with event planning, recruitment strategies, and graduate student admissions processes.
  • Knowledge of University policies related to graduate studies, including fellowship management and student visas.
